1. Information We Collect

All American Notice ("we," "us," or "our") collects information you provide directly to us when you:

  • Create an account or profile
  • Submit work orders for preliminary notices, liens, or bond claims
  • Upload documents or property information
  • Contact us for customer support
  • Subscribe to our newsletter or marketing communications

This information may include your name, email address, phone number, company name, billing address, payment information, and project-related data necessary to prepare your legal documents.

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Prepare and file preliminary notices, liens, and bond claims on your behalf
  • Process transactions and send related information
  • Send technical notices, updates, and security alerts
  • Respond to your comments and questions
  • Comply with legal obligations

3. Information Sharing

We do not sell your personal information. We may share your information in the following circumstances:

  • Service Providers: We share information with vendors who assist in providing our services (e.g., payment processors, mail services)
  • Legal Requirements: When required by law, court order, or governmental authority
  • Document Recipients: Information included in preliminary notices and liens is shared with the intended recipients as required by law
  • Business Transfers: In connection with a merger, acquisition, or sale of assets

4. Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. This includes encryption of sensitive data, secure server infrastructure, and regular security assessments. However, no method of transmission over the Internet is 100% secure.

4a. Artificial Intelligence & Machine Learning

All American Notice uses third-party AI services (currently Anthropic Claude via the Emergent universal LLM API) only for in-product support diagnostics shown to All American Notice staff. We do not use, share, sell, or otherwise permit your data — including any data received from connected services such as Procore — to train, re-train, fine-tune, or benchmark any AI or machine learning model.

As a defense-in-depth measure, data tagged as originating from a connected CRM (such as Procore) is filtered out of any AI support context before it leaves our infrastructure.

4b. Connected Construction Software

When you install an All American Notice integration with construction management software such as Procore, JobNimbus, or QuickBooks, we receive read-only access to a limited set of fields from your account in that software (projects, subcontracts, vendors, due-date fields) only as required to generate the notices you have asked us to file. We never receive your password.

We store this connected-software data under the same AES-256 encryption-at-rest and TLS 1.2+ in-transit controls as any other AAN data, and we delete it within 30 days of you uninstalling the integration or sooner upon written request to privacy@allamericannotice.com.

4c. Sub-processors

We use the following sub-processors to operate our service. We maintain a data-processing agreement (DPA) with each of them:

5. Data Retention

We retain your personal information for as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Document records related to liens and notices are retained for at least 7 years to support potential legal proceedings.

6. Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your information (subject to legal retention requirements)
  • Opt out of marketing communications
  • Object to certain processing of your information

7. Cookies and Tracking

We use cookies and similar tracking technologies to collect information about your browsing activities. You can control cookies through your browser settings. Some features of our service may not function properly if you disable cookies.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date. Your continued use of our services after changes become effective constitutes acceptance of the revised policy.
